Guidelines on the Use of Kyoto iUP Online Application System (for Students’ Use)
1. Environment of Usage
1.1 While keeping the OS and software on your computer up to date with antivirus software installed, update your virus definitions to the latest version.
1.2 Make sure that no file-swapping software has been installed on your computer.
1.3 The following browsers are recommended for use.
Windows: Microsoft Edge (latest version); Google Chrome (latest version); and Mozilla Firefox (latest version)
Mac: Safari (latest version) or Mozilla Firefox (latest version)
Windows: Microsoft Edge (latest version); Google Chrome (latest version); and Mozilla Firefox (latest version)
Mac: Safari (latest version) or Mozilla Firefox (latest version)
2. ID/Password
2.1 Take extra care not to reveal your password to those around you. Change your password at regular intervals.
2.2 Avoid using a password that people can guess.
Enter a password consisting of twelve (12) or more alphanumeric characters.
Do not use a word(s) based on your personal information including the name or birthday of yourself or your family.
Do not use a word(s) contained in a dictionary.
The password should be composed of a mixed combination of alphanumeric characters rather than a mere string of letters of the alphabet or of numerals.
The password should not be one you are using to receive other services.
The password should be one you have never used in the past.

3. Precautions to Prevent Leakage of Information
3.1 In light of the possibility of spyware and/or a key logger being installed on a near-at-hand computer, do not log in to the Kyoto iUP Online Application System from any computer for use by many or unspecified users.
3.2 Do not leave the computer screen with personal information displayed thereon lest the information should happen to be disclosed to unspecified persons. If you have no choice but to leave your seat with such information displayed on the screen, be sure to take proper steps such as making the displayed information locked by a password and the like.
3.3 When you exit out of the Kyoto iUP Online Application System, be sure to log out of the system and close the browser window.
4. Suspension from Use
4.1 In the event that a user falls under any of the following situations, the system administrator may suspend the user from using the Kyoto iUP Online Application System:
- 4.1.1 If the user does things that are contrary to Guidelines on the Use of Kyoto iUP Online Application System;
- 4.1.2 If the user does or is likely to do things that breaks a law, ordinance, etc.; or
- 4.1.3 If the system administrator deems it to be otherwise inappropriate for the user to continue using the Kyoto iUP Online Application System.
Privacy Policy on the Use of Kyoto iUP Online Application System
1. Personal Information Protection
1.1 When handling personal information, we at Faculties, Graduate Schools and the Institute for Liberal Arts and Sciences will seek to comply with laws and regulations and to protect personal information in accordance with the provisions of the Regulations Concerning the Handling of Personal Information in Kyoto University.
1.2 As a general rule, we will not use personal information registered with the Kyoto iUP Online Application System for any purpose other than business of Faculties, Graduate Schools and the Institute for Liberal Arts and Sciences; provided, however, that this does not preclude the possibility of using such personal information for other business purposes of Kyoto University.
1.3 The Institute for Liberal Arts and Sciences shall take responsibility for managing personal information registered with the Kyoto iUP Online Application System.
2. Information Security
2.1 In order to maintain the correctness of personal information retained by us and prevent loss, destruction, falsification and leakage thereof, we will take appropriate security measures against unauthorized access, computer viruses and the like in accordance with the provisions of the Kyoto University Regulations for Information Security Programs.
2.2 In the event we outsource the tasks of development and maintenance management of and/or processing of information handled by the Kyoto iUP Online Application System, we will conclude an outsourcing agreement with an outsourcing contractor to ensure that such information be properly managed by the outsourcing contractor.
2.3 The Kyoto iUP Online Application System uses Secure Socket Layer (SSL) encryption technology on all of its pages.
3. Obtainment and Utilization Purpose of Usage Record
3.1 The Kyoto iUP Online Application System keeps a usage record which will be utilized for the purposes stated below.
- 3.1.1 Support for solving usage-related problems;
- 3.1.2 Operational improvement of the Kyoto iUP Online Application System;
- 3.1.3 Checking conformity with applicable laws and regulations, relevant rules established by Kyoto University and Guidelines on the Use of Kyoto iUP Online Application System; and
- 3.1.4 Generation of statistical data.
