Terms of Service and Agreements on Handling of Personal Information
(Purpose)
▪These Terms of Service set forth matters to be agreed by and between any person who makes an application (hereinafter “Applicant”) for admission through the use of the Kyoto iUP Online Application System (hereinafter “Service”) and National University Corporation, Kyoto University (hereinafter “University”) with respect to the use of the Service.
(Applicant for Admission)
▪Under all circumstances, an Applicant shall make an application for admission personally.
(Finalizing Application)
▪An Application for admission shall be deemed to be completed when an Applicant has registered his/her application information correctly through the use of the Service and has paid the application fee in the specified method of payment and when the required application documents have been received by the University.
▪If an Applicant fails to submit the required information and documents, his/her application for admission shall not be accepted.
▪Once an Applicant presses the Completion button, the contents of his/her application for admission cannot be changed.
(Outsourcing to a Third Party)
▪For the purpose of implementing the Service, the University will conclude an outsourcing agreement with Media Max Japan Inc. (hereinafter “MMJ as the Outsourcing Contractor”) under which the University shall outsource tasks involved in the performance of the Service to MMJ as the Outsourcing Contractor. The scope of tasks outsourced to MMJ as the Outsourcing Contractor shall cover the operation of the Service.
(Indemnity)
▪Due to communication means/equipment fault or maintenance of the Service, the Service may be temporarily suspended.
▪In the event that an Applicant incurs a loss due to a cause beyond the control of the University or MMJ as the Outsourcing Contractor, such as a natural disaster, neither the University nor MMJ as the Outsourcing Contractor shall accept liability for damages of any kind resulting therefrom.
(Changes to Terms of Service)
▪The whole or part of these Terms of Service may be subject to alteration or addition due to the operational situation/reasons of the Service.
(Agreed Jurisdiction)
▪An Applicant and the University hereby consent to the exclusive jurisdiction of a court having jurisdiction over the defendant’s location with respect to any matter arising between the Applicant and the University or MMJ as the Outsourcing Contractor.

Handling of Personal Information
Personal information is handled in accordance with the Act on the Protection of Personal Information and the Regulations Concerning the Handling of Personal Information at Kyoto University.

Name, address, and other personal information acquired through the admission will be used for:
- Application screening and selection.
- Announcement of successful applicants.
- Enrollment procedures.
- Information and application documents submitted during the admission will be utilized to create materials for future consideration of admission methods.
- Some of the operations for the uses described in 1. and 2. may be carried out by a contractor entrusted with the said operations by the Kyoto iUP Admissions Office (hereinafter referred to as a "contractor"). Therefore, all or a part of the personal information will be provided to the contractor to the extent necessary for the execution of the entrusted operations.

For successful applicants, personal information acquired through the admission will also be used for the following operations:
- Academic affairs (student registration management, academic advising, curriculum improvement, etc.).
- Student support (health management, career support, tuition exemption/scholarship applications, etc.).
- Tuition fee collection.
